The firm

What does Rationale Services do?

Rationale Services is an accounting and business-services firm that runs the financial back office for owner-run companies. That covers bookkeeping, accounting, payroll, taxation, business licenses and registration, consultancy, financial services and general business support. The firm works remotely with businesses across the United States, so your location does not limit what you can get.

Most clients come for one thing and keep the firm for several. A company that arrives needing the books caught up usually ends up handing over payroll as well, because the same ledger feeds both. Keeping the work in one place removes the handoffs that cause most of the errors: the bookkeeper waiting on the payroll provider, the tax preparer waiting on the bookkeeper, the owner chasing all three.

There is work the firm does not take on. Where an engagement would call for that kind of work, Rationale Services says so early and refers it out, and stays involved as the firm that holds your records and knows your numbers.

  • Bookkeeping, accounting and payroll held by one firm
  • Taxation, business licenses and registration
  • Consultancy, financial services and general business support
  • One ledger behind all of it, so nothing waits on a handoff

Services

What can Rationale Services actually do for my business?

Eight services, each answering a question an owner is already asking. Rationale Services runs all of them, which is why clients tend to consolidate rather than assemble a different provider for each. You do not have to take all eight — most engagements start with one or two and grow as the owner decides to hand more over.

Getting started

How does an engagement with Rationale Services start?

There is no quote on this website and no package list, because the work is not uniform. A single-entity business with clean books and four employees is a different job from three entities with eighteen months of unreconciled transactions. The discovery conversation exists to tell those apart.

  1. A conversation about your business

What you run, how many entities, how many states you operate in, what the books look like now, and what you want off your plate.

  2. Scope and fee, in writing

Rationale Services sets scope and fee after that conversation, and both go into an engagement letter before any work begins.

  3. Onboarding

Onboarding sets up the access the work needs and establishes an opening position everyone agrees on before the firm takes over the ongoing cycle.

  4. A fixed monthly rhythm

Then a fixed monthly rhythm with set deliverables, and set checkpoints at quarter and year end.

Who the firm works with, and why owners switch

See how an engagement is scoped and priced — what the firm asks in the first conversation, what the engagement letter settles, what onboarding needs from you, and what drives a fee up or down.

Who does Rationale Services work with?

Rationale Services works with owner-run companies that have outgrown a spreadsheet but are not large enough for an in-house finance team. In practice that means a few employees to a few dozen, one entity or several, and an owner who is still the person deciding where the money goes and who wants a clear number to decide on.

The firm is a good fit if you are behind on your books, running payroll by hand, filing in more than one state, carrying several entities, or about to do something that changes your numbers — opening a second location, taking on a partner, buying equipment, applying for finance.

It is a poor fit if you want a login and nothing else. The monthly rhythm assumes you will read what you are sent and answer questions about unusual transactions. Owners who want that contact get the most out of it.

Why do owners change accountants?

Owners usually leave for one of four reasons: the books are chronically behind, nobody answers, the work is split across providers who blame each other, or the fee covers compliance only and no one ever explains what the numbers mean. Rationale Services is built around those four complaints.

Behind-the-books engagements are common enough that the firm treats catch-up as a defined phase rather than an emergency. Scope for it is set once the condition of the records is known, not before.

The second complaint — nobody answers — is a process problem. The monthly rhythm and the named point of contact set out on how we work exist so that questions do not sit unanswered.

Industries

Accounting built around how your business makes money

The mechanics of bookkeeping are the same everywhere. What differs is where the money hides.

Sector knowledge shows up in three practical places. The chart of accounts, which decides whether your reports can answer the question you care about or only the ones a generic template anticipated. The close process, which decides what gets reconciled and how often. And the monthly report, which should lead with the two or three measures that actually run your business rather than a balance sheet you have to interpret.

We do not change what we are willing to do from one industry to the next. We change how your records are built, so that the numbers you are handed each month are the ones you would have asked for.

  • A chart of accounts built around the way your revenue arrives
  • A close process matched to how often things move in your business
  • A monthly report that leads with the measures that run it

The difference

How is this different from a national bookkeeping subscription?

A subscription gives you a software seat, a categorisation engine and a support queue. Rationale Services gives you a firm that knows your business, answers questions about your specific transactions, and can take on payroll, tax work, registrations and advisory work as they come up — without you starting a new relationship each time.

The honest trade-off is cost structure. A subscription publishes a low number for a narrow service. Rationale Services scopes to what you actually need, which can come out higher or lower depending on the state of the books and the number of moving parts.

  • Scope: a subscription prices a narrow band of work, and anything outside it becomes your problem
  • Judgement: software categorises transactions, but deciding how to treat an unusual one is a conversation
  • Continuity: when something changes in your business, the firm already holds the history

FAQs

Common questions

Do you work with businesses outside the state where your office is?

Yes. Rationale Services works remotely with businesses across the United States, and a remote engagement is the normal arrangement rather than an exception. Documents, approvals and meetings all run through secure digital channels. How remote engagements run describes the mechanics.

What will this cost?

It depends on your scope, and the firm sets the fee after a discovery conversation rather than from a price list. What moves it: transaction volume, how many entities you run, how many states you operate in, payroll headcount, and the condition of the existing records. The agreed figure goes into an engagement letter before work starts.

Can you take over books that are months behind?

Yes, and it is one of the more common reasons businesses get in touch. The firm first establishes how far behind the records are and what source documents still exist, then scopes the catch-up as its own phase with its own timeline. Ongoing monthly work begins once the records are current.

Can one firm handle both my bookkeeping and my payroll?

Yes, and they work better together. Payroll feeds the ledger every cycle, so running both in one place removes the reconciliation gap that appears when two providers hold half the picture each. The same applies to tax work, which draws on both.

Do you perform audits?

No. Rationale Services does not carry out audits, reviews or formal business valuations, and does not represent clients before tax authorities. When an engagement calls for work of that kind, the firm says so and refers it to an appropriate provider, then continues to hold your records and support the process from its side.

How quickly can we start?

That depends on the state of your records and how fast access can be arranged, so the firm gives you a start date in the engagement letter rather than a general promise. Catch-up work takes longer to begin than a clean handover. Asking early in your month usually makes the first close smoother.
