Scope
What we do and what we do not do
What does Rationale Services actually do?
Rationale Services is an accounting and business-services firm. We handle bookkeeping, accounting, payroll, taxation, business licenses and registration, consultancy, financial services and business support — as a single piece of work, or as the whole finance and back-office function for a business that does not want to build one internally.
What does Rationale Services not do?
Rationale Services does not give legal advice, investment, securities, insurance or lending advice. We do not issue opinions or formal reports on financial statements, we do not perform formal business valuations, and we do not represent clients before tax authorities. Work of those kinds is referred out, and we say so before you need it.
Can I take just one service rather than all of it?
Yes. Most clients start with one thing — catch-up bookkeeping, payroll, a registration, a cash-flow problem — and add to the scope once that is running. Rationale Services does not require a bundle, and the engagement states exactly which services are in scope and which are not.
What work do you refer out, and how does that work?
When something falls outside what Rationale Services does — legal work, a signed opinion or formal report, a formal valuation, representation before a tax authority — we identify it early and refer you to someone who takes that on. We then keep doing our part of the work alongside them rather than handing the whole engagement over.
Getting started
Starting an engagement
How does an engagement with Rationale Services start?
It starts with a conversation about your business, what is currently happening, and what you want to be different. Rationale Services then looks at the records and the scope involved, puts the scope in writing, and agrees it with you before any work begins. The how we work page sets out each step of that process.
What do you need from me to begin?
Enough access to see what is actually there: your existing records, whatever system they live in, the entities involved, and a view of your payroll and transaction volume. Rationale Services does not need everything organised first. Working out what you have and what is missing is part of the start, not a prerequisite.
What does it cost, and why are there no prices on this site?
Because the same service name covers very different amounts of work. Rationale Services scopes each engagement before quoting, and what moves the scope is the number of entities, the number of states you operate in, your transaction volume, payroll headcount, and the condition of the records we start from. How we work explains how scope and cost are agreed.
Can you tell me on the first call whether you are the right firm?
Usually yes, at least in outline. Rationale Services would rather tell you early that something is not work we should be doing than take it on and manage it badly. If the fit is wrong, we will say what kind of firm you need instead.
Working together
How the work runs
Is there anywhere in the United States you cannot work?
No. Rationale Services works with businesses across the United States and engagements run remotely as standard. Nothing about the work requires you to be nearby. Where we work explains how national, remote engagements run.
How does working remotely actually run day to day?
Documents move through secure shared storage rather than email attachments, we work inside your accounting and payroll systems with access you grant and can revoke, and meetings happen by video or phone on an agreed cycle. Rationale Services keeps the record of what was agreed and when in writing, so nothing depends on memory.
What software do you work in?
Rationale Services works in the systems you already use wherever that is sensible — the common small-business accounting, payroll and document platforms. If your setup is genuinely holding the work back, we will say so and explain what changing it would involve, rather than requiring a migration before we start.
How often will I hear from you, and in what form?
On an agreed cycle, set when the engagement is scoped rather than left to drift. That normally means regular reporting you can read in a few minutes, a scheduled conversation to go through it, and direct contact in between when something needs a decision. Rationale Services puts the cadence in the engagement so you can hold us to it.
Handovers
Taking over work someone else is doing
What happens to the work our bookkeeper does now?
That depends on what you want. Rationale Services can take the work over entirely, or take the parts your bookkeeper does not cover and leave the rest where it is. We agree the split in writing before anything changes, so nobody is doing a job twice and nothing drops between two parties.
We have someone in-house. Does that person become redundant?
Not usually. In most engagements the in-house person keeps the day-to-day and Rationale Services takes the work that needs more depth or a second pair of eyes — the close, the reporting, the obligations across multiple states, the periods when volume spikes. Who owns what is written down at the start.
We already use another firm. How does a handover work?
Rationale Services works from your records and your systems, so the handover is mostly about access and getting a complete picture of what has been done. We will tell you what we need from the outgoing firm and what we can reconstruct ourselves. You control the timing and what you tell them.
Our books are a mess and we are behind. Is that a problem?
No, it is common. Rationale Services treats catch-up as the first phase of work rather than a reason to decline. We establish what is actually there, bring the records to a reliable state, and then start the regular cycle — because reporting built on unreliable records is worse than none.
What if we are behind on filings as well as on the books?
Tell us on the first call. Rationale Services works out what applies to your business — which differs by state and by how you operate — puts it in order of priority, and deals with our part of it. We will also tell you plainly if any of it needs a practitioner we would refer you to.
Data and exit
Data, security and ending an engagement
Who owns our data and our files?
You do. Your records, documents and files remain yours throughout, wherever they are stored. Rationale Services works inside your accounts and systems wherever possible, and where we hold working files on your behalf, they are yours to receive in full on request at any time.
How are our documents and system access kept secure?
Documents move through secure shared storage rather than email attachments. System access is granted by you at the level the work requires, is held by the firm rather than in personal accounts, and can be revoked by you at any time. Rationale Services keeps a record of who has access to what.
Will our work depend on one individual at your firm?
No — the firm holds the engagement, not one person's calendar. Your engagement is held by Rationale Services, with a named point of contact given to you when it starts, and the process and records documented so the work does not stall when any individual is unavailable. That is deliberate: it is how continuity is protected.
What happens if we want to leave?
You leave. Rationale Services hands over your records, documents and files in a form your next firm or your own person can pick up, and access to your systems reverts to you. Nothing in the way we set things up is designed to make an exit difficult or expensive.
My question is not on this list. What should I do?
Ask. Send it through the contact form or call Rationale Services on +1 (470) 359-5949. Questions about whether something is the kind of work we do get a straight answer, including when the answer is no, and you do not need to be a client to ask one.
Where to go next
If a question here did not cover it, these pages go further into the detail.
Still not sure whether we are the right firm?
Ask the question directly and you will get a straight answer, including when the answer is no.
