Remote by default

Can you work with my business if it is not in the same state as you?

Yes. Rationale Services works remotely with businesses across the United States, and a remote engagement is the standard arrangement rather than an exception made for distant clients. Nothing in the service depends on you being able to reach an office: the records, the approvals, the payroll data and the conversations all run digitally.

This is not a reduced version of the service. The work that has to happen — recording and reconciling transactions, closing the month, running payroll, preparing tax work, keeping entity registrations current — is work that happens in systems, not in a room.

The practical question is not distance but responsiveness, and that is a process question. How we work sets out the monthly rhythm, the query channel and who answers what.

The mechanics

What has to move, and how it moves remotely

A remote engagement runs on three things: access to the systems that hold your financial data, a single place where documents and questions move, and a fixed monthly calendar.

  • Accounting and bank data

Direct access to your accounting system and visibility of bank and card activity, at the narrowest permission level that lets the work happen.

  • Source documents

Uploaded to one shared location, organised by period, rather than emailed as attachments.

  • Monthly queries

One consolidated list per close, with your answers recorded against each item.

  • Payroll data and approvals

Collected on a set cycle, with a defined approval step before any run is processed.

  • Reporting

The same pack each month, delivered on the same schedule.

How a remote engagement runs in practice

How does a remote engagement actually run?

A remote engagement with Rationale Services runs on three things: access to the systems that hold your financial data, a single place where documents and questions move, and a fixed monthly calendar so you always know what is happening and when. Once those are set up in onboarding, the work proceeds without either side chasing the other.

In practice, each month the firm pulls the period's activity from the systems it has access to, reconciles it, sends you a list of the transactions it cannot resolve without you, closes the period once your answers come back, and sends the reporting pack. Payroll runs on its own cycle, with your approval step built in before anything is paid.

What makes it work is that the back-and-forth is structured. Queries arrive as one list rather than as emails through the month. Documents go to one place rather than into somebody's inbox. Approvals have a defined step rather than being inferred from silence. Remote engagements fail when the communication is ad hoc, not because of the distance.

How do you handle a business that operates in more than one state?

Multi-state operations are routine work for Rationale Services. The firm tracks the filing and registration obligations attached to each place your business operates and files them on schedule, so you are not keeping a mental list of what is due where. If you expand into a new state, that becomes part of the scope and the firm tells you what it changes.

The cost of getting this wrong is that it compounds quietly. An obligation nobody noticed does not stay the size it started at. The firm's approach is to establish, at onboarding, where the business actually operates and has people, keep that picture current as the business changes, and work from it rather than from the owner's recollection.

What the firm will not do is tell you from a web page what applies to your business, because it genuinely depends on your circumstances — where you have people, where you hold property, how you are structured, how the revenue arises. That gets worked out with you, from your actual facts, and then the firm handles it. Payroll across more than one state is handled the same way: payroll covers the mechanics.

How are my documents and system access kept secure?

Documents and access are handled through controlled channels rather than email. Rationale Services uses a shared location for document exchange, requests access through each system's own user management rather than shared credentials, and works at the lowest permission level that allows the work to be done. Access is reviewed when scope changes and removed when an engagement ends.

Three specifics worth knowing. First, nobody at the firm needs your passwords; if a system can only be accessed by sharing one, that is flagged and dealt with rather than quietly accepted. Second, payroll data — the most sensitive thing most small businesses hold — moves only through the payroll platform's own channels. Third, the engagement letter states who may access what, so the arrangement is written down rather than informal.

If your own policies require something specific — a particular file-exchange tool, access through your own device management, restrictions on where data is held — raise it in the first conversation and the firm will tell you plainly whether it can work that way.

How do meetings and time zones work?

Meetings run by video call, scheduled rather than improvised, at a time that works in your business hours. Rationale Services works with businesses across the United States, so a spread of time zones is normal, and clients at either end of the country are accommodated within the working day rather than asked to take a call at an awkward hour.

The cadence is set in onboarding: a regular review call at a frequency that suits your engagement, plus the ability to get a call when something comes up that should not wait for the next one. Between calls, questions go through the agreed channel rather than to an individual's direct line, so an answer does not depend on one person being free.

For anything that gets decided on a call, you get a short written summary afterwards. Decisions about money should be in writing, not in someone's memory of a conversation.

FAQs

Common questions about working remotely

Do you have to be in my state to prepare my tax work?

No. Rationale Services prepares tax work for clients wherever they operate, working from the records it maintains. Where an engagement would call for representation before a tax authority, that is referred out, and the firm supplies the reconciled records and supporting detail the referred provider needs.

What if I expand into another state partway through the year?

Tell the firm as soon as it is decided rather than after it has happened. The firm works out what the expansion means for your filings and registrations from your actual circumstances, adds the new work to the scope, and confirms what it changes in fee before proceeding.

Can you work in the accounting system I already use?

Usually, and the firm will confirm it in the first conversation. Moving years of history to a new platform is disruptive, so the default is to work in what you already have unless there is a real reason to move.

Do I need to post or courier you anything?

Almost never. Documents are uploaded to the shared location, which also means they stay accessible to you rather than disappearing into a filing cabinet. If something genuinely has to move physically, the firm will tell you what and where to send it.

How quickly do you respond to questions between meetings?

Questions go through the agreed channel rather than to an individual, so answers do not wait on one person's availability.

Is remote work cheaper than working with a firm down the road?

Not on its own. The fee follows your scope — transaction volume, entity count, states of operation, payroll headcount and the condition of the records — not the distance between you and the firm. What remote working changes is the range of firms you can choose from, which matters more than the postcode of the one you pick.
