Every cycle
How does Rationale Services run payroll from start to finish?
Each cycle Rationale Services collects hours and any changes, calculates gross pay, applies withholdings and deductions, sends you a draft register to approve, releases payment on the agreed date, posts the run into your books, and makes the associated filings. You approve; we do the rest.
The draft register is where errors are meant to be caught, and it is worth two minutes of your attention. You are the only person who knows that someone's hours look wrong, that a leaver should not be on the list, or that a raise was agreed verbally last week and never written down.
After the run, the accounting side happens without you: gross pay, employer costs and the amounts withheld are posted to the right accounts so your wage cost appears correctly in your margin rather than as one lump. If we also keep your books, that posting is part of the same engagement; see monthly bookkeeping.
- A cut-off date for hours and changes
- A draft register showing each person's gross, deductions and net, plus the total cost to the business
- Your approval before anything is released
- Funding, payment, payslips and posting into your books
- The associated filings made after the run
Setting up
What do you need from me to get payroll started?
Setup is front-loaded on purpose. Most of the work happens before the first payroll, so that the first run is ordinary — a rushed setup produces a first run full of corrections, and corrections in payroll are expensive in trust rather than in money.
-
Your business and employer registration details
The details that identify your business as an employer.
-
Your existing payroll records
If you have been running already, the records that system produced. For a business moving from another provider or from in-house, we want the year's payroll history rather than just current pay rates, because a mid-year transfer depends on year-to-date figures being carried across accurately.
-
Pay terms and start dates
Each person's pay terms and start date.
-
Onboarding paperwork
Each person's completed onboarding paperwork.
-
Bank details for funding
The account the runs are funded from.
-
Benefit and deduction arrangements
Whatever benefit or deduction arrangements are already in place.
Hires, hours and what your people see
How do you add a new hire to payroll?
Send us the hire's details and documentation and Rationale Services sets them up: pay terms, schedule, deductions and benefit elections entered, onboarding paperwork collected and stored, access to self-service issued, and the person included from their first applicable cycle. We confirm back to you once they are in.
The detail that causes the most trouble is timing. A hire who starts mid-cycle, or whose paperwork arrives after cut-off, needs handling deliberately rather than being pushed to the next run and explained afterwards. Tell us about a start date when you decide it rather than when it arrives, and the first pay is uneventful.
Leavers run on the same principle in reverse: a final pay calculated correctly, any outstanding entitlements settled, access closed and records retained. Both ends of employment are where small administrative misses turn into conversations nobody wants to have.
How do hours and approvals work?
Rationale Services works from whatever time data you already collect — a time-tracking system, scheduling software, a point-of-sale system or a simple sheet — and we set up the route by which it reaches us before each cut-off. Where you have no system, we will tell you what the smallest workable one looks like.
Approval stays with you and matters more than it looks. Someone in the business has to confirm that the hours are the hours, because payroll cannot tell an eleven-hour shift that happened from an eleven-hour shift that was mistyped. We make approval a named step with a deadline rather than an assumption.
Two things reduce friction more than any software choice. First, a cut-off that sits far enough before pay day to leave room for a query. Second, one person responsible for approval, with a named backup for the weeks they are away. Payroll delays are almost always approval delays wearing a different hat.
What do my employees see, and can they get their own documents?
Each person gets access to a self-service portal showing their payslips, their pay history and their own details, and can download their documents without going through you. Rationale Services sets that up during onboarding, so it works from someone's first pay rather than being added later.
Self-service exists mainly to take a category of work off whoever runs your office. Requests for a copy of a payslip, a pay history for a landlord or a lender, or a change of address do not need a person in the middle, and in a business of any size those requests are a steady drip.
Employees can update their own details where that is appropriate, with anything affecting pay routed for approval rather than applied directly. The division is deliberate: a person can fix their own address without asking anyone, and nobody changes their own pay rate.
Multi-state employers
We employ people in more than one state. Can you handle that?
Yes. Where you employ people in several states, Rationale Services keeps your employer registrations current in each of them, runs payroll with each person's work location handled correctly, and makes the associated filings in every state you employ in. You deal with one payroll service rather than a different arrangement per state.
The administrative load is the part people underestimate. Each state you employ in adds its own registrations to maintain and its own filings to track, and the set grows every time you hire somewhere new. We hold the inventory of what is open in which state, keep the account details current, and tell you what has been filed and when.
Remote hires are the usual way a business becomes multi-state without planning to, often one person at a time. Tell us where a new hire will actually be working before they start, and we will handle the setup for that location rather than discovering it later. Registration work beyond payroll sits with business licenses and registration.
What applies to a particular person in a particular state depends on the circumstances, and it is something we work out with you case by case rather than something to assume from a general rule.
- Employer registrations kept current in each state you employ in
- Each person's work location handled correctly in the run
- The associated filings made in every state you employ in
- An inventory of what is open where, kept up to date
- One payroll service rather than a different arrangement per state
Deductions, year end and corrections
How are withholdings, benefits and deductions handled?
Rationale Services administers them as data. Each person's withholding elections, benefit enrolments, retirement contributions, garnishments and any other deduction are entered, applied in every run, and remitted where remittance is part of the arrangement. The amounts are calculated in the payroll system and reconciled against what has actually been paid out.
Accuracy depends on changes reaching us, which is the one thing we cannot see from our side. A new benefit election, a changed contribution rate, a court-ordered deduction, a person's updated withholding paperwork — each needs to reach us before the cut-off, and we confirm back once it is in.
On the reporting side we keep the employer-paid costs visible rather than buried. Benefits and employer contributions are real wage cost, and a business that looks only at gross pay understates what each person costs by a margin large enough to change a hiring decision.
What a particular election or arrangement means for a particular person is a question we work through with you and, where it belongs with them, with your benefits provider or advisor — not something to read off a page.
What about the documents employees need at year end?
Rationale Services prepares and distributes the year-end documents your employees and contractors need, and completes the associated year-end filings on time. The work is scheduled rather than improvised, and we tell you what we need from you well before the point at which it becomes urgent.
Most year-end trouble is accumulated during the year rather than created at the end of it. Addresses that were never updated, a benefit recorded inconsistently, a mid-year correction that was handled in one place and not another — these surface at year end and are much more expensive to fix then. Running clean reconciliations each cycle is what makes year end quiet.
We reconcile the year's payroll before anything is issued, so the documents agree with what was actually paid and with what was posted to your books. Where a person's details are incomplete, you hear about it while there is still time to chase them.
What happens if something is wrong in a payroll run?
Tell us and we fix it. Rationale Services corrects the error, works out what it means for the person's pay, the records and anything already filed, and tells you what we are doing and when it will be resolved. Where someone has been underpaid, we discuss getting them right quickly rather than waiting for the next cycle.
The response depends on when it is caught. Before approval, it is a straightforward amendment to the draft register. After payment, it becomes a correction with a knock-on effect on records and filings, which we handle and document. Either way the figure in your books is corrected too, so your wage cost is not left wrong.
We also look at the cause rather than just the symptom. A one-off mistyped number is a one-off. The same kind of error three months running means a step in the routine is not working — a cut-off that is too tight, changes arriving through three different channels, no named approver — and we would rather change the process than keep correcting the output.
If an error originated before we took over, we will tell you that too, along with what it takes to put right.
Your decisions, and changing provider
Can you tell me whether someone is an employee or a contractor?
That determination is yours to make, and it is one to take with your attorney or advisor — Rationale Services does not make the call for you. What we do is make sure the decision is properly reflected in your records: the person set up correctly in the payroll or payables system, the documentation on file, and the payments recorded consistently with the classification you have chosen.
The practical risk we can help with is drift. A person engaged one way and then managed another way, or a contractor whose arrangement has quietly changed over two years, creates a mismatch between what your records say and what is actually happening. We flag that pattern when we see it in the data and tell you it is worth reviewing with your advisor.
We also keep the record-keeping clean on both sides: contractor payments tracked with the documentation that belongs to them, employee payments run through payroll with their own records, and nobody appearing in both without a reason you have decided on. When you reach a decision, we implement it — including moving someone between the two and handling the records that go with the change.
If the question is about a particular person and you are unsure, say so early. The cost of asking the right person once is small compared with the cost of a classification that was never examined.
Can you take payroll over from our current provider?
Yes, and mid-year transfers are routine. Rationale Services takes your existing payroll records and year-to-date figures, reconciles them before relying on them, sets up each person with their current terms and elections, confirms the registration details we need, and runs a parallel check before the first live run where the timing allows it.
The reconciliation step is the one that protects you. Year-to-date figures carried across without being checked are the most common source of year-end problems in a transferred payroll, and the check costs a fraction of the correction. We also want to see what filings have already been made so nothing is duplicated or assumed.
We work in the common payroll platforms and will normally keep you in the one you have unless there is a concrete reason to move. If moving would genuinely help, we will say what it changes and let you decide. How we work sets out how a transfer like this is scoped and agreed.
Questions
Common questions about payroll
How often can we run payroll?
Whatever schedule suits your business — weekly, every two weeks, twice a month or monthly — and different groups can run on different schedules where that is how you operate. The schedule, the cut-off and the pay date are fixed in your engagement so everyone works to the same calendar.
Do you handle contractor payments as well as employees?
Yes. Contractor payments are tracked with their own documentation and kept separate from payroll, and the year-end documents for them are prepared and issued as part of the same service. The classification decision itself stays with you and your advisor.
Who is responsible if a filing is missed?
We track the filings associated with your payroll in each state you employ in and make them on schedule, and that responsibility is written into your engagement rather than left vague. If something goes wrong on our side, we tell you, fix it and deal with the consequences rather than passing them to you.
Can you report what payroll actually costs us by department or job?
Yes, provided the payroll and the chart of accounts are set up to support the split. Wage cost mapped to a department, location or job is one of the more useful things a payroll service can give you, and it is much easier to set up at the start than to retrofit. The reporting side is covered under accounting and financial statements.
What if we hire someone in a state where we have never employed anyone?
Tell us where they will be working before they start and we handle the setup for that location, including getting the employer registrations in place and adding that state to the filings we track for you. The sooner we know, the less of a rush it is.
Is our payroll data kept confidential?
Yes. Payroll data is handled through secure systems with access limited to the people working on your account, and employee information is not shared outside that. Documents move through secure file sharing rather than email attachments.
