What it includes
What do financial services for a small business actually include?
Rationale Services handles the finance work that sits above bookkeeping: cash-flow management and forecasting, working capital, cost and spend control, the financial information you need for a lender or investor conversation, a financial model you can run decisions through, and monthly reporting written for an owner rather than for a file.
Most small businesses have someone recording transactions and nobody interpreting them. The accounts close, the statements arrive, and the owner still cannot say whether next quarter is affordable. This service closes that gap without adding a salaried finance hire.
We work from your existing records. If the bookkeeping is already sound, we build on it. If it is not, we say so early, because forecasts and models built on unreliable records are worse than none — they are confident and wrong.

Cash, and where it goes
Why is my business profitable on paper but short of cash?
Profit and cash move on different clocks. Rationale Services traces the gap: what you have billed but not collected, what you have bought but not yet sold, what you owe and when it actually leaves the account. We put the timing on one page so you see the squeeze before your bank balance does.
The usual culprits are receivables stretching out, inventory absorbing cash, a tax or payroll run landing in a thin week, and growth itself — every new customer is funded by you until they pay. None of these show up in a profit figure.
We build a rolling cash view that runs weeks ahead, not months behind, and we keep it current. When a decision is coming — a hire, a lease, a large order — you can see what it does to the low point before you commit.
How do I get spending under control without slowing the business down?
Rationale Services starts by making spend visible: what you spend, with whom, how often, and against what. Most of the saving is not in cuts. It is in duplicate subscriptions, creeping vendor rates, spend nobody owns, and purchases that were right two years ago and have not been looked at since.
Then we set the controls that fit a small team: who can commit money, what gets approved before it is spent, and which costs are reviewed on a schedule rather than when something goes wrong. Controls that are too heavy get worked around, so we keep them proportionate.
We also separate the costs that move with revenue from the ones that do not. That distinction is what tells you whether a slow month is a problem or a season.
What the work covers
The pieces of a finance function, without the finance hire
Rationale Services handles the finance work that sits above bookkeeping. Most clients take some of the list below rather than all of it.
-
Cash-flow management and forecasting
A rolling cash view that runs weeks ahead rather than months behind, kept current, so a hire, a lease or a large order can be measured against the low point before you commit to it.
-
Working capital
What you have billed but not collected, what you have bought but not yet sold, and what you owe and when it actually leaves the account — with the timing on one page.
-
Cost and spend control
Spend made visible, then controls proportionate to a small team, and the costs that move with revenue separated from the ones that do not.
-
Information for a lender, landlord or investor
Your own numbers prepared in the form the other side expects and gone through with you first, with the supporting detail behind anything that invites a question.
Business support services: Information for a lender, landlord or investor
-
A financial model you can use
Your real cost structure, your real timing, a handful of inputs you can change and an output you understand — and maintained, because a model is only useful while it reflects the business.
-
Owner-level monthly reporting
Where cash is heading, which costs moved and why, what customers owe and how old it is, what you owe and when, and the handful of measures that actually drive your business.
Outside conversations, models and monthly reporting
What financial information do I need for a bank, a landlord or an investor?
Rationale Services prepares your own numbers in the form the other side expects, and goes through them with you first, so you are not reading your own figures for the first time in the meeting. We prepare and explain your records. We do not represent you in the conversation, and we do not issue an opinion on your statements — that work is referred out.
In practice that means current, consistent financial statements, a clear history, the supporting detail behind anything that looks unusual, and a forward view you can defend line by line. The questions you will be asked are predictable, and most of them are about the parts of your numbers you have never had to explain out loud.
Where a request calls for a formal valuation or a signed report from a practitioner holding a specific licence, we tell you at the start and refer that piece out, then keep working alongside whoever takes it.
Do I actually need a financial model?
You need one if you are making decisions whose consequences arrive later than your reporting does — hiring, a location, financing, a price change. Rationale Services builds a model you can use yourself: your real cost structure, your real timing, a handful of inputs you can change, and an output you understand.
A model nobody opens is a document. We keep the drivers few and the assumptions labelled, so when a number turns out to be wrong you can correct it in a minute instead of rebuilding the sheet.
We also maintain it. A model is useful for as long as it reflects the business, which is usually about one quarter without upkeep.
What should monthly reporting tell me that my accounts do not?
Rationale Services reports on what you can act on: where cash is heading, which costs moved and why, what customers owe and how old it is, what you owe and when, and the handful of measures that actually drive your business. The statements still exist. The report is what you read first.
We agree the measures with you rather than handing you a standard pack. A contractor needs job-level margin and retainage; a retailer needs inventory turns and shrink; a services firm needs utilisation and realisation. The reporting follows the business, not a template.
Each report says what changed, what it means, and what decision is now in front of you. If there is nothing to decide, it says that too, in one line.
The stage after this
When should this work become a full-time finance hire?
When the volume of decisions, entities or locations means someone needs to be inside the business every day. Rationale Services is built for the stage before that, and for the stage after it when a new hire needs structure to inherit. We will tell you when you have crossed the line.
Many businesses sit in that middle band for years: too complex for bookkeeping alone, not yet carrying a finance salary and the management that comes with it. That is the band this service is for.
When you do hire, the documented process, the model and the reporting cadence transfer to your person. Nothing about the way we work is designed to be hard to leave.

What does financial services work cost?
Rationale Services scopes this work to the business in front of us, so there is no published price. What moves the scope is how many entities you run, how many states you operate in, your transaction volume, payroll headcount, and the condition of the records we start from. How we work sets out how we establish scope and agree it with you before any work starts.
A business with one entity, clean books and a single forecast need is a different piece of work from four entities, multi-state operations and two years of catch-up. We would rather scope what is actually there than quote a number that has to be revised later.
Questions
Common questions about financial services
Can you take this on if our bookkeeping is behind?
Yes, but the catch-up comes first. Rationale Services cannot forecast from records that are incomplete, and a model built on them produces confident nonsense. We will tell you plainly what has to be fixed before the forward-looking work is worth doing, and we can do that remediation ourselves.
Will you give us advice on investments, insurance or raising debt?
No. Rationale Services prepares and explains your own financial information and builds the models and reporting you use to make decisions. Advice on investments, securities, insurance or lending is outside what we do, and we refer that work out.
Do you issue an opinion or a formal report on our financial statements?
No. We prepare your records and we explain them, including to third parties who ask for them, with you in the room. Any engagement that calls for a signed opinion or formal report from a practitioner holding a specific licence is referred out, and we will say so before you need it.
How is this different from your accounting service?
Accounting produces accurate, closed, reconciled financial records. Financial services use those records to run the business — cash forecasting, working capital, spend control, modelling and owner reporting. Most clients take both, and they work better together because nothing has to be re-explained between two parties.
Who maintains the model and the reporting once it is built?
Rationale Services does, on an agreed cycle. A model and a report pack both decay as the business changes, so leaving them static is the main way this work stops being useful. You can also take the build and run it yourself, and some clients do.
Can you work with the finance person we already have?
Yes. Often the in-house person handles the day-to-day and Rationale Services handles the forward view, the modelling and the reporting discipline. We agree who owns what in writing at the start so nothing falls between the two of you.
